What do I need to start scanning invoices?

An email address and a phone or laptop. Sign up, create your first workspace, and you can capture an invoice from the mobile PWA, drag-and-drop a PDF in the web app, or forward a supplier email straight to your workspace inbox. No installs, no agents, no dedicated hardware.

Do I need to install anything?

Accepted Answer

No. Invoeva runs entirely in the browser — the mobile capture flow is a Progressive Web App you add to your phone's home screen, and the web app works in any modern browser. There's no desktop client, no driver, and no on-prem component.

Question 3

How long until my first invoice is processed?

Accepted Answer

Typically under a minute. Capture or upload, the extraction model returns structured line items in seconds, and you'll see the result in the workspace queue ready for review or export.

What file formats are supported?

PDF (single- or multi-page), JPEG, PNG, HEIC, and WEBP. We also accept PDF attachments forwarded by email. Scanned images and photos taken on a phone both work — the model is trained for low-light, skewed, and crumpled scans.

What does “Free during beta” actually mean?

Accepted Answer

Every paid plan — Starter, Business, Enterprise — is $0 until Invoeva exits beta. You sign up, pick the tier that matches your volume, and pay nothing today. We will give every active workspace at least 30 days’ notice by email before paid billing starts, and you can downgrade at any time before that.

What happens if I exceed my plan’s monthly invoice limit?

Uploads keep working — the file is stored so nothing gets lost — but processing pauses until you upgrade or until the next monthly reset. You’ll see a clear in‑app notice with a one‑click upgrade. When you upgrade, queued invoices process automatically.

Question 7

Can I switch plans or cancel later?

Accepted Answer

Yes. You can move up or down between Free, Starter, Business, and Enterprise from the workspace settings at any time. Changes take effect at the start of the next billing cycle once paid billing is live. During beta, switching is instant and still free.

Question 8

I need more than 2,000 invoices a month or a custom ERP integration. What now?

Accepted Answer

That’s the Enterprise tier or a custom plan. Reach out via the Contact page — tell us your monthly volume, the ERPs you need to write into, and how many sites or restaurants you run. We’ll come back with a quote and an integration timeline within a couple of business days.

Where are my invoices stored?

Accepted Answer

Invoices and extracted data are stored in our Postgres database hosted on Neon (EU region by default) and served via Cloudflare's global edge. Original files are stored in Cloudflare R2. We do not move or replicate your data outside the regions you sign up in.

Question 10

Can I delete my data?

Accepted Answer

Yes. You can delete an individual invoice from the workspace queue at any time. Deleting your workspace removes every invoice, extracted line item, and uploaded file within 30 days, and audit logs within 90 days. Email hello@invoeva.com if you need a faster purge for compliance reasons.

Do you train your models on my invoices?

Accepted Answer

No. Your invoices are not used to train any general extraction model. Per-supplier prompt tuning happens inside your own workspace and stays scoped to that workspace.

Question 12

Who can see my invoice data?

Accepted Answer

Only users you invite to your workspace, plus a small number of Invoeva engineers when you explicitly grant support access for a debugging session. Access is logged in the audit trail.

Which accounting systems do you support?

Accepted Answer

Today we ship a generic webhook export that can push line items into anything that accepts JSON, plus CSV and Excel exports for spreadsheet-driven workflows. Sage Intacct and QuickBooks connectors are next on the roadmap; Xero and NetSuite are after that. If you need a specific connector by a specific date, talk to us via the Contact page.

Can I export to CSV or Excel?

Yes. Both are first-class exports — you can download a single invoice or batch-export by date range, supplier, or workspace. Column layout is configurable per workspace.

Question 15

Do you have an API?

Accepted Answer

Yes. Every workspace can mint API keys for the public tRPC endpoint. Today the API covers invoice ingestion, line-item retrieval, and webhook configuration. SDK packages for TypeScript are published; other languages can call the HTTP endpoint directly.

Can I forward invoices by email?

Accepted Answer

Yes. Each workspace gets a unique forwarding address. Set it as a CC or auto-forward target in your inbox and any PDF or image attachment lands in the queue automatically.

How do you protect my data?

Accepted Answer

TLS in transit, AES-256 at rest, password hashing with scrypt, and CSRF + rate limiting on every mutation endpoint. Sessions are short-lived and stored in Cloudflare KV. We follow the OWASP top-10 as a baseline and run automated security review on every pull request.

Are you SOC 2 certified?

Accepted Answer

Not yet. SOC 2 Type I is on the roadmap and is one of the items we plan to complete before exiting beta. We do not display badges or claim certifications we do not hold — the About page and pricing page are explicit about what is shipped vs. planned.

Are you GDPR compliant?

Accepted Answer

Yes. We sign a Data Processing Agreement on request, store EU customer data in EU regions, and honour subject access and deletion requests. Email hello@invoeva.com to request a DPA or to file a data request.

Do you support SSO / SAML?

Accepted Answer

Google and Microsoft sign-in are live for every workspace today. SAML SSO with Okta, Entra ID, and Google Workspace as IdPs is on the Enterprise roadmap — reach out via Contact if you need it before launch.
